Privacy Policy

1. Who we are

This site and the Mori Scheduler Discord activity (together, the “Service”) are operated by the administrators of Memento Mori, a private THE FINALS gaming club (“we”). We act as the data controller. Contact us any time via the Memento Mori Discord server (ask for an administrator).

2. We do not sell your data

We never sell, rent, or trade your personal data, and we show no ads and run no third-party analytics or tracking.

3. What we collect

  • Discord account data when you sign in with Discord: your Discord ID, username, display name, avatar, and email address (when Discord provides it).
  • Session data: IP address and browser user-agent, stored with your login session for authentication and abuse prevention.
  • Scheduling data you enter: timezone, weekly availability hours, preferred game modes, rank tier, and temporary status overrides.
  • App data: notification preferences, in-app notifications, club membership status and role, and language preference.

Providing your Discord account data is required to use the Service — without it, sign-in is not possible. We use only strictly necessary cookies (your login session); no marketing or tracking cookies.

4. Why we process it

We process this data solely to provide the Service to you (Art. 6(1)(b) GDPR): signing you in, gating access to club members, showing your availability to other members so you can find people to play with, sending in-app notifications, and keeping the Service secure (Art. 6(1)(f) GDPR — legitimate interest in preventing abuse). We make no automated decisions with legal or similarly significant effects and do no profiling.

5. Where your data lives

Your data is stored in our own database and is shared with no one except the infrastructure providers that run the Service on our behalf: our hosting provider, our database provider, and Discord (for sign-in and the embedded activity). These processors may process data in the EU and/or the United States under the EU-U.S. Data Privacy Framework or EU Standard Contractual Clauses. Other club members can see the availability, display name, avatar, game modes, and rank you choose to share — that is the point of the Service. Your email address is never shown to other members.

6. How long we keep it

For as long as you have an account. If your account is deleted, all associated data (sessions, schedules, notifications, preferences) is deleted with it. Login sessions expire automatically.

7. Your rights

Under the GDPR you may request access to, correction of, deletion of, or a copy of your data, restrict or object to processing, and withdraw consent where processing is based on it. Contact us via the Memento Mori Discord server to exercise any right. You may also lodge a complaint with your local supervisory authority; ours is the Dutch Data Protection Authority, Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).

8. Changes

If we change this policy, we will post the new version here and update the effective date. For accounts created on or after the effective date of a revised policy, the revised policy applies immediately upon account creation. Accounts created before that date remain governed by the previous version of this policy for a period of thirty (30) days following the effective date of the revision; upon expiry of that period, the revised policy applies to all accounts. The English version is the governing text.
